Hiring is how a one-person hustle becomes a real business — and your early hires shape your culture, your quality and your growth more than almost anything else. Getting it right means knowing when to hire, how to find and choose people, doing the legal and payroll parts properly, and then actually keeping good staff. When should you hire?

Hire when demand is consistently outrunning your capacity — you're turning away work, quality is slipping because you're stretched, or a specific skill gap is holding you back. Hiring too early burns cash; too late caps your growth and burns you out. A middle path is to start with part-time, freelance or contract help to test the need before committing to a full-time salary.

Write the role before you advertise

Be clear, on paper, about:

What the person will actually do day to day, and what success looks like.
The skills and attitude that matter most (attitude is often harder to train than skill).
The total cost — not just salary, but your EPF, SOCSO and EIS contributions, bonuses and tools.

A clear role attracts better applicants and makes choosing easier.

Where to find people

Job portals popular in Malaysia, plus LinkedIn for professional roles.
Referrals from your network and existing staff — often your best source.
Social media and community groups for local or specialised roles.
Internships and links with colleges to build a pipeline of junior talent.

Make a compliant, clear offer

Malaysian employment is governed by the Employment Act and related law. A proper written employment contract should cover job scope, salary, working hours, leave, probation, notice and termination. Build in the statutory must-dos:

EPF, SOCSO and EIS registration and monthly contributions.
PCB/MTD (monthly tax deduction) where applicable.
Statutory leave and benefits entitlements.

Get the foundations right from day one — fixing employment mistakes later is costly.

Develop your people (and claim it back)

Keep the good ones

Replacing people is expensive, so retention is a growth strategy:

Pay fairly for the role and review it as they grow.
Set clear expectations and give regular feedback.

Build a culture people want to stay in; for a small team, how you treat people *is* the culture.

Growing a team adds cost before it adds capacity, so make sure your pricing and cash flow can carry the wage bill. Hire deliberately, comply fully, and invest in the people you bring on.

What must I provide when I employ someone in Malaysia?

Can I claim back staff training costs?

If your business pays the HRD Corp levy, which becomes mandatory once you reach the staff threshold, much of your eligible training spend can be claimed back from your levy account. How do I retain good employees in a small business?
